Import Customer Service

Job Description

  • Coordinate and manage end-to-end import shipments, including space booking, documentation, shipment tracking, and delivery to the final destination.

  • Communicate and liaise with domestic and overseas customers, shipping lines, airlines, trucking providers, and overseas agents to ensure smooth and timely transportation.

  • Prepare quotations for customers based on provided details, follow up on quotation results, and coordinate to answer inquiries or adjust information according to customer requirements.

  • Act as the primary contact for customers, ensuring satisfaction by responding to inquiries, providing shipment status updates, and resolving issues related to shipments.

  • Review and prepare shipping-related documents such as Bill of Lading, Air Waybill, Commercial Invoice, Packing List, Import Permits, or other documents required by customers and international regulations.

  • Coordinate with customs brokers, customs authorities, and relevant agencies to ensure proper and efficient customs clearance.

  • Collaborate with warehouse, transportation, finance, and sales departments to support smooth and effective operations.

  • Collect, organize, and maintain shipping and customs documents systematically for easy reference and audit purposes.

  • Monitor service performance, gather customer feedback, and report to supervisors for continuous improvement.

  • Prepare shipment status reports and other information requested by customers or management.

  • Support the sales team in retaining existing corporate clients, expanding the customer base, and building long-term customer relationships.

Requirements

  • Minimum 5 years of experience in import operations or customer service within freight forwarding/logistics.

  • Bachelor’s degree required (fields such as Logistics, International Business, or related areas are preferred).

  • Strong time management skills, with the ability to manage multiple shipments simultaneously.

  • Excellent communication skills in English (written and verbal); additional languages are an advantage.

  • Experience in in-house sales, including preparing quotations and following up with customers.

  • Proficient in MS Office and familiar with Freight Management Systems (FMS).

  • Highly disciplined, hardworking, and detail-oriented.

  • Customer-focused with a proactive approach to issue resolution and service excellence.

  • Ability to work effectively under pressure and meet deadlines.

  • Strong teamwork and collaboration skills, with the ability to work independently when needed.
